In Short
Flexible Timetables and Shifts is an Odoo 19 Extra Tools app. The tool to plan, share and control employees shifts in a form of weekly timetables. Work schedule. Work shift calendar.
When people set their own hours, "Who is in on Thursday?" should not need a group chat. Flexible Timetables and Shifts lets employees plan shifts on a calendar, share when and where they work, and gives HR a weekly timetable to check plans against real attendance.
Drag periods to create or move shifts, filter the team calendar by employee, department, context, or company, and optionally approve weekly schedules before they become locked. Working contexts (office, remote, site…), printouts, Excel export, reminders, and multi-timezone support keep distributed teams aligned.
Perfect for
Flexible teams
Staff who choose their own hours and still need colleagues to know when they are available — without a shared spreadsheet.
HR & managers
Department managers and HR admins who want planned hours, attendance fulfillment, and optional approval before the week starts.
Distributed companies
Multi-company, multi-timezone setups where the same shift board must stay clear across offices and remote workers.

Why teams choose it
Key benefits before you dive into the details
Drag-and-drop planning
Create a shift by picking a period; move it by dragging the card. A full week can be planned in minutes.
Shared team calendar
Colleagues see when others work. Filter by employee, department, context, or company — change only your own shifts.
Weekly timetables
Shifts roll into Monday–Sunday timetables so people compare planned hours to contract hours and group by context.
Optional approval
Turn on Planning → To approve → Approved. After send/approve, employees cannot change that week's shifts.
Attendance check
Built on Odoo Attendance: planned vs checked-in hours, overload, and optional working context on check-in.
Reminders & printouts
Remind staff to plan next week, warn when late vs plan, print a board schedule, or export a timetable to Excel.

Calendar planning and weekly timetables
Drag shifts, share the board, reuse templates
Employees plan their own shifts for the coming weeks. Peers always see when and where colleagues are available; each person edits only their own schedule. Weekly timetables keep the plan measurable against contract hours.
Work calendar
- Pick a period and a working context to create a shift
- Drag and drop cards to reschedule in seconds
- Filter by employee, department, context, or company
- Full multi-timezone support for distributed teams
- Print a work schedule (up to 31 days) for the office board — layout, size, and logo are configurable
Weekly timetable
- Shifts auto-group Monday–Sunday per employee
- Compare planned time to expected contract hours
- Group by working context (e.g. remote vs office) for clearer control
- Save any week as a template and reuse it later
- Export a timetable as an Excel file to share or print
Approval, attendance, and reminders
Optional workflow, contexts, and HR control
Managers and HR see the plan and the reality. Optionally lock weeks through approval, attach working contexts to attendance, and keep people on track with reminders.
Approval workflow
- Optional states: Planning → To approve → Approved
- Employee sends the week; department manager or HR admin approves or refuses
- Followers of the Timetables subtype get state-change notifications
- Once sent or approved, ordinary users cannot edit that week's shifts
- Discuss issues and schedule activities on the timetable chatter
Attendance & reminders
- Built on Odoo Attendance — planned vs real hours and overload on the timetable
- Optional working context on systray or kiosk check-in (office, remote, site…)
- Timetables visible to the employee, their manager, and HR administrators
- Cron reminders to plan next week; hourly alerts when someone is late vs plan
- Multi-company: only real colleagues' shifts; no overlapping dual-company plans

Configuration and Installation Tips for Flexible Timetables and Shifts Odoo v.19
Contexts (reasons) for shifts and attendances
The app allows to configure an unlimited number of working contexts on the Odoo HR configuration page.
One of those contexts should be set as default. Then, it would be entered as the first choice for planned shifts and attendances.
When a user plans shifts, he/she would be asked to introduce a context.
It is possible to turn on context selection also when a user checks in Odoo. Otherwise, default context would be entered to attendances.
Timetable combines shifts and attendances by contexts. In case you have rarely used contexts, mark those as 'Do not show if empty' to avoid too many lines.
Notifications to plan shifts
Reminders to create timetables are sent for the next week. Configure days of the previous week when to notify employees on the configuration page.
Only employees with the flagged setting "Timetable Notifications" would receive reminders.
To change the reminder email, go to the Odoo technical settings > Email > Templates. Find there 'Timetable for the next week'. You are welcome to introduce any changes to subject or body and to update translations.
Change time of the reminder through the Odoo technical settings > Automation > Scheduled jobs > 'Notify employees to plan working time for the next week'.
Notifications of being late
Reminders of being late is sent if a user at this particular moment has a planned shift, but he/she has not checked in.
Only employees with the flagged setting "Being Late Notifications" would receive reminders.
To change the reminder email, go to the Odoo technical settings > Email > Templates. Find there 'Timetable: you are late'. You are welcome to introduce any changes to subject or body and to update translations.
Set up frequency of the reminder through the Odoo technical settings > Automation > Scheduled jobs > 'Notify employees of being late'. By default check is done once an hour.
Hours to plan (contract hours)
How many hours should be planned for a week is defined per each user individually. Define contract hours on an employee form.
